Attendance & Punctuality Policy

Dear Student,

 

Welcome to International Colleagues School of English, also known as English @ ICS Ltd.  If this is your first time here, we hope you will find it a friendly place where you will soon feel at home.  If you have studied here before, we hope you will continue to develop your English and will also help new students to settle in quickly.

 

Here are a few important points to remember about attending class and arriving on time:

 

Please do attend all your classes. This seems obvious, but you must remember that missing even one class makes studying more difficult for yourself, other students, and the teacher. Please phone the school (+44 1603 624021) or text the school (WhatsApp number: +44 7821 111163) or email the school (ics@icsenglish.com) to let us know if you are going to be absent.

 

For the same reasons, please don’t be late for classes. Remember: you may not be allowed into the class if you are more than 10 minutes late.  If you are late, your teacher will refuse you entry and you will be marked absent.


You must attend at least 80% of your classes. If you do not, we will not give you a certificate when you finish your course, and you may also have problems if you wish to extend your visa.


Students under 18 are required to attend all classes. For safeguarding reasons, if you are under 18 and arrive late to class, you must attend a meeting with the Academic Director.

Holidays

If you want to take a holiday, please tell the Admin Director a week in advance by writing an email to ics@icsenglish.com.

Friday Prayers

If you want to attend Friday Prayers at the mosque, depending on the prayer times you will
be allowed to leave the second lesson at 12:30. Please note, there are no afternoon classes on a Friday.

One-to-one Classes

If you arrive late to your one-to-one class without informing the school, you will still be charged for the whole class.

If you cannot attend your one-to-one class, you must contact the school by phone, text, or email to reschedule the class. If you miss a class and you have given 24 hours’ notice to ICS or informed the school by 09:30 on the day of your class, you can reschedule it for any time up to the end of the following week. Note that this applies to all situations, including being unwell, family commitments, doctor’s appointments, missing a bus, etc.

If you cancel your one-to-one class last minute or if you don’t attend your one-to-one class without informing the school, the fee will not be refunded.

If you start to miss classes, the Academic Director / Welfare Officer will talk to you, and the Attendance Warning System described below will be followed.

Attendance Warning System

Step 1

After two days of absence, the Academic Director / Welfare Officer checks with the student to see if there is a good reason for their absence.

If attendance continues to be irregular or after four consecutive days of unwarranted absence –>

Step 2
The Academic Director / Welfare Officer has a meeting with the student and a verbal warning is given.

If attendance continues to be irregular or after six consecutive days of unwarranted absence –>

Step 3
The Academic Director / Welfare Officer issues a written warning.

If attendance continues to be irregular or after eight consecutive days of unwarranted absence –>

Step 4
If the student continues not to comply with the Attendance & Punctuality Policy, the school may expel the student without refund.

We want you to learn a lot of English during your time at the ICS. We hope you will attend all your classes and it will not be necessary to invoke the process above.
